How to Inspect Fabric Before Shipment: A B2B Roll Inspection and Acceptance Guide

A useful pre-shipment fabric inspection verifies identity, quantity, appearance, dimensions, mass per unit area, shade grouping, packaging and documentation against requirements agreed before production. The inspection report should support a clear accept, reject or corrective-action decision—not simply state that the fabric “looks good.”
Why inspect fabric before shipment?
Fabric defects discovered after international delivery are expensive to investigate and difficult to separate from cutting, sewing or storage damage. A pre-shipment check gives the buyer and supplier a final opportunity to identify nonconforming rolls, separate shade groups, correct labeling or packaging, and agree on disposition before the goods leave the supplier.
Inspection does not replace in-process quality control or laboratory testing. It confirms whether the finished shipment matches the commercial specification and whether the available evidence is sufficient for release.
What should the purchase specification define first?
The inspection team cannot make a consistent decision unless the buyer and supplier have already defined the product and acceptance rules. Before production, confirm:
- Product code, fiber composition and fabric construction
- Finished width and whether selvages are included
- Target mass per unit area, often expressed as g/m² or GSM
- Approved color, print artwork, repeat and shade standard
- Roll length, quantity and permitted packing format
- Required physical, colorfastness, chemical or regulatory tests
- Defect grading method and acceptance threshold
- Sampling plan for packaged units or shipment attributes
- Required documents, photos and retained samples

What is a fabric visual grading system?
A visual grading system converts observed fabric defects into a repeatable numerical or classification result. ASTM D5430-26, Standard Test Methods for Visually Inspecting and Grading Fabrics, covers procedures for visual inspection and grading and identifies this approach as suitable for acceptance testing of commercial fabric shipments.
Many buyers refer commercially to a “four-point system,” but the contract still needs to define the exact method, inspection length, width basis, treatment of full-width defects, calculation and acceptance threshold. Do not assume that every mill, third-party inspector and buyer uses the same limits simply because they use the same system name.
Is roll inspection the same as AQL sampling?
No. Continuous or selected roll inspection evaluates fabric defects along material length. Acceptance sampling by attributes evaluates a defined sample of units or characteristics and uses the result to make a decision about the lot.
ISO 2859-1:2026 defines single, double and multiple sampling plans indexed by acceptance quality limit (AQL) for lot-by-lot inspection. An AQL is an indexing parameter used to select a sampling plan; it should not be casually described as a guaranteed percentage of defects in the shipment. The inspection contract should state the lot definition, inspection level, sampling plan, defect classification and acceptance rules.
How should width and GSM be verified?
Use an agreed method and report whether the result applies to a full roll, full-width sample or small specimen. ASTM D3774-18(2024) covers measurement of textile fabric width and can be applied to full rolls or short specimens. ASTM D3776/D3776M-20(2025) covers measurement of fabric mass per unit area and includes different options for full pieces, full-width samples, small swatches and narrow fabrics.
A small swatch result does not automatically represent every roll in a shipment. Sampling location, conditioning, selvage treatment and test option should be recorded so that buyer and supplier are comparing like with like.
What should a fabric inspection report contain?
- Purchase order, product code and inspected quantity
- Inspection date, location and responsible party
- Roll numbers, lot numbers and shade groups
- Method, inspection speed or process details where relevant
- Defect log with type, position and image evidence
- Width, mass-per-area and other specification results
- Color or print comparison evidence
- Packaging and labeling findings
- Summary calculation against the agreed acceptance rule
- Final disposition: accepted, rejected, segregated, repaired or awaiting buyer decision
Photos are useful, but they should supplement—not replace—identified measurements and roll-level records.
What happens when some rolls fail?
The buyer and supplier should separate nonconforming rolls and agree on a documented disposition. Possible outcomes include replacement, reinspection, rework, shade segregation, downgraded use or commercial settlement. The correct response depends on the end use and contract; a defect that is tolerable for small accessories may be unacceptable for wide bedding panels.
Avoid mixing rejected or unapproved shade groups back into the shipment without a new inspection and buyer authorization.

FAQ
Must every meter of every roll be inspected?
Not in every contract. Inspection coverage should be based on product risk, order value, end use, supplier history and the agreed method. State the coverage clearly instead of assuming it.
Does an AQL result prove that the entire shipment is defect-free?
No. Acceptance sampling supports a lot decision from a defined sample. It does not inspect every unit or guarantee zero defects.
Can a buyer use the same acceptance threshold for every fabric?
That is rarely appropriate. Printed fabric, plain-dyed sheeting, jacquard, fleece and stretch fabrics can have different defect risks and end-use consequences.
Should third-party inspection replace the supplier’s own QC?
No. Third-party inspection can provide independent evidence, but stable quality still depends on supplier controls throughout raw-material approval, production, finishing and packing.
